Vendor Administrator


Overview

Join a team with over 50 years of success in the real estate industry! Lincoln Property Company is currently hiring for a Vendor Administrator, a data entry position. As a Vendor Administrator, you are responsible for updating payable systems which enables properties to issue payment to their vendors for services provided. As a part of this process, you will also be involved in ensuring vendors are approved for use.

Responsibilities

Primary contact for onsite teams that need assistance with questions around using or paying a vendor.
Work with onsite staff and accountants to ensure policies and procedures are being followed.
Verify that all vendor pay accounts are accurate and current.
Generate pay codes as requested by Lincoln team members.
Review and maintain documents sent in by properties.
Assist with clearing unassociated invoices in payable system as needed.
Maintain and update documents shared with the team.
Ensure compliance with Lincoln Property Company policy, as well as federal, state, and local regulations.
Aid vendors on becoming certified for properties.
Review Certificate of Insurance documents for compliance.
Setup properties in pay systems when they are new to Lincoln.
Work with owners to gain access to their pay system or if there is an issue in their pay system.
Review, consolidate and correct vendor accounts and ledgers.
Review and upload documents to various systems and or websites.
Assist team members when needed.
Additional duties as assigned.

Qualifications
  • High school diploma or equivalent is required.
  • Strong written and oral communication skills.
  • Excellent organization and time management skills.
  • Strong analytical skills with a sharp attention to detail.
  • Able to multitask and meet deadlines in a timely and organized manner.
  • Must have extensive experience using a computer and email.
  • Exposure to property management software and accounting software, experience with Yardi and/or Payscan is a plus.
  • Experience onsite, including knowledge of Vendor Insurance Tracking services (Registry Monitoring or equiv) is a plus.
