Student Office Assistant/Desk Assistant Scheduler – Student Living
JOB DESCRIPTION
General Responsibilities
* Assist in maintaining the reception area during the hours of 8am to 5pm.
* Responsible for overseeing the schedule for the Community Desks in Euclid Commons and Fenn Tower.
* Assist in covering Community Desks, when applicable.
* Assist in training Desk Assistants during the onboarding process of new Desk Assistants.
* Keep an accurate account of all hours worked by clocking in and out of ADP on time.
* Management of office functions including typing, proofreading, developing flyers and program materials, creating and working with databases, answering the phone, processing mailings, and appointment scheduling.
* Complete an accurate inventory of all items at the desk(s) at the start of every shift according to prescribed guidelines.
* Keep confidential all information discussed in meetings, memos, or overheard from any of the staff offices unless directed to share the information by supervisor, or their designee.
* Maintain a clean and orderly desk and reception area by adhering to supervisor guidelines for maintaining logs, passes, cards, paperwork, project documents, etc.
* Assist with tours, walks, lockouts, and overall community support.
Customer Service Responsibilities
* Assist Cleveland State University and the Department of Residence Life and Housing in answering questions from students, families, staff, and visitors, and them to the appropriate means of obtaining the requested information whether in person, via phone, or via email.
* Answer the service desk telephone and transfer calls according to guidelines and procedures outlined by the supervisor and the Central Office Assistant Manual.
* Greet everyone who enters the office with a smile, positive attitude, acknowledgement, attentiveness, good posture, professionalism, and respect.
Administrative Responsibilities
* Data entry and cross-referencing spreadsheets and information
* Assist with move-in packets, material preparation assembly and proper distribution
* Attend and assist with check-ins and check-outs
* Complete and submit Maintenance Requests as needed
* Attend all scheduled meeting and training sessions as directed by supervisor
* Assist in the implementation of departmental surveys, research studies, etc.
* Adhere to University Student Code of Conduct, all residential handbook policies and procedures, and Office Assistant expectations and policies.
* Other duties as assigned by the Department of Residence Life and Housing and its administration.
Terms of Employment
* Be enrolled in twelve (12) academic credits at Cleveland State University. Graduate students are required to be enrolled in nine (6) academic credits. Students who drop below full-time status once hired may not continue to work. Students who have been dismissed from or leave the University during the time of their employment will be separated immediately. There is no credit hour requirement for Summer employment.
* Maintain at least a 2.5 cumulative grade point average. Student grades will be checked at the end of each semester and summer session.
* Must maintain a good conduct standing with the University and the Department of Residence Life and Housing, as discerned by the Director for Residential Education.
* Period of employment is determined by the need of the department and the applicant’s preference. Typically, the employment term is for the academic school year (Fall & Spring). Training and preparation for Community Desks and Mail Operations will require the student’s attendance and participation in training and activities prior to the start of the fall semester.
* Salary is $12.00 per hour.
* Any student employee is allowed a maximum of 25-29 hours per week for all RLH employment combined during the academic year.
* International student employees cannot exceed 20 hours per week.
Depending on the position offered, regular full-time and part-time team members may be eligible to participate in a bonus program in addition to their base salary. Once eligible, team members may participate in the 401k plan. Regular, full-time team members are also offered a range of medical, financial, and/or other benefits from which to choose.
