Job Description Summary

Responsibility and oversight of day-to-day operations of an assigned location or area -ensuring all services are effectively delivered and facility needs are met. Leads schedules and manages the technicians and all sub-contractors to perform their duties at an optimal level.

Job Description

Duties & Responsibilities:

* Supervise, train, lead and mentor a team of Facility Technicians to ensure client requests are fulfilled and primary job responsibilities are performed;

* Conduct regular staff meetings to discuss current and upcoming activities and events, work processes, and business expectations;

* Manage team work schedules and time off to ensure proper coverage and workloads; * Expected to be familiar with Cushman & Wakefield policies and procedures and customer policies and procedures as they relate to your position and job description; * Expected to be familiar with the layout of the facilities, location of storage rooms, shops, conference rooms, labs, data centers, mechanical and equipment rooms, and loading docks;

* Manage the work request to insure that requests are completed on a timely basis and within the assigned SLA (service level agreement);

* Perform weekly inspections of primary conference rooms, leased space, customer-facing areas and common areas, and inspect facilities informally for carpet stains, marks on walls that need touch-up, damaged or stained ceiling tiles, bent or broken window blinds, etc.;

* Perform daily inspections of each facility to include the exterior and interior of each location and inspect the entire facility once a month;

* Provide bi-weekly and monthly reports to the Facilities Manager; updating him or her on the current status of any projects, open service requests, and related tasks;

* Expected to be familiar with the specifications for, and work with the Facilities Technicians in overseeing and coordinating with service suppliers, including Janitorial, Vending and Food Service, and General Maintenance Services to insure that they are complying with the terms of their contracts and that the overall quality of the property is being maintained in an “as new” condition;

* Work in conjunction with the Facilities Manager to prepare specifications, bid packages, and conduct the bid process;

* Maintain a comprehensive inventory of supplies and materials; properly source and place orders for both routine and emergency items;

* Work in conjunction with staff to coordinate and carry out moves, re-configurations, and furniture requests; Attend and assist the Facilities Manager in conducting weekly staff meetings, and monthly safety meetings. Observe safety procedures and endeavor to maintain an accident-free environment;

* Expected to know your assigned procedures for various emergency situations and respond accordingly should they occur;

* Assist the Facilities Manager with leading the Facilities Operation staff on all assigned projects, goals, routine inspections, Customer Focus items, and Service Request reviews;

* Assist the Facilities Manager with creating Purchase Orders, tracking actual expenses, invoice collection, budget forecast and supplier management.

Requirements:

Technically proficient in all aspects of Facility Management. This includes, but is not limited to, Furniture Systems Maintenance and Installation, as well as industry-related Supplier, Project, and Financial Management practices;

* Three to five years of Class A Building Maintenance experience and/or related trade experience;

* Ability to multi-task and problem solve in a fast-paced, changing environment; * Strong decision-making capabilities;

* Experience leading a team of facilities management personnel;

* Client/customer service background;

* Proficiency in Microsoft Outlook, Microsoft Excel, purchase order software, and Computerized Maintenance Management Systems.
