Job Description Summary

This role embodies an exceptional customer service experience to the client/colleague/vendor in a corporate environment. Engage at the appropriate level to support contracted service lines to include mail/package sorting, delivery, and pickup internally. Accountable for support of most facilities services outside of the Mail Services The ability to perform a variety of tasks, often changing assignments on short notice is necessary. Strong organizational skills, as well as the ability to prioritize and meet deadlines. Detailed and teamwork-oriented, this person will take the lead on resolving any customer service or delivery issues and will work closely with the Office Services Supervisor for appropriate resolution. As a customer-facing role, business casual dress code is required.

Job Description

  • Ability to perform a broad range of mail services through cross-training by the responsible supervisor.
  • Coordinate mass mailings and shipping projects, including international mail.
  • Deliver mail and packages throughout the client location, following applicable distribution procedures.
  • Maintain Inventory of mailroom and shipping supplies.
  • Processing and handling of all accountable mail and packages – express overnight mail, certified/insured/registered mail, packages).
  • Maintain USPS postage machine.
  • Coordinate workflow within the team, including prioritizing jobs and delegating duties to associates.
  • Monitor workflow to ensure jobs are completed efficiently, accurately and within deadlines.
  • Assess incoming requests selecting the best equipment and resources for successful completion.
  • Communicate with Office Services Supervisor and client on job or deadline issues.
  • Answer and reply to e-mail request in SPA-box.
  • Make sure the mail services work areas are clean and organized.
  • Assist the Office Services Supervisor to coordinate mass mailings and shipping projects, including international mail.
  • Other duties as directed by management. Promoted positive job relationships. Frequent interaction with internal and external customers including staff, clients, and management where courtesy and tact is required.
  • Compliance with safe work practices, including company safety rules and practices. Timely completion of assigned safety training.
  • Ability to safely pickup and carry up to 50 lbs. for short distances
  • Ability to work standing up for extended periods of time.

Qualifications and Experience Requirements

  • High school diploma: college degree preferred.
  • Minimum of two years of office-business environment preferred.
  • Understanding of postal equipment, including standard software.
  • Knowledge of international shipping processes.
  • Awareness of postal rules, including international mail and shipments, with the ability to explain relevant regulations to clients.
  • Diligence with emphasis on accuracy and quality.
  • Ability to prioritize work to balance multiple projects and deadlines.
  • Excellent verbal and written communication skills.
  • Exceptional customer service skills.
  • Intermediate computer skills required.
