About the business
The purpose of the Receptionist/Admin Assistant role is to operate a multi-line virtual telephone system to answer incoming calls and completing a variety of administrative duties to ensure an exceptional experience for all clients, employees, and guests. This role will ensure that all calls and activities are delivered with the highest level of detail and to the highest standards effectively and quickly
The work is diverse across Cushman & Wakefield clients through corporate commercial and residential markets.
A unique exciting opportunity is available for an enthusiastic, energetic, self-motivated, and highly organised individual to join our team of schedulers /planners dispatching field staff and technicians to service our valued clients.
What you will be doing
- Receive all incoming calls from internal and external clients in a friendly helpful manner
- Record and pass reliable messages on in a timely and efficient manner
- Assist clients with all needs by directing them to appropriate staff members
- Develop and maintain excellent internal and external client rapport
- Manage prepare and distribute incoming and outgoing correspondence & materials in a timely and efficient manner, including but not limited to, Account payments received, Australia Post mail, Courier deliveries and facsimiles
- Greet, welcome and manage all office visitors and visitors sign in book
- Kitchen duties and keeping staff amenities on hand
- Efficiently maintain and manage print and other stationary stock, staff amenities and cleaning goods, including proof provisions and ordering.
- Efficiently maintain and manage office printing and amenities equipment, servicing and repairs.
- Manage Company uniform register and supply
- Assist Accounts Receivable entering invoices on to client portals.
- Assist Accounts Payable with following up paperwork not received.
- Adhoc administration tasks as requested from time to time.
Skills and Experience
To be considered for this position you will bring customer service experience in a similar environment. Minimum requirements include:
- Knowledge of trade services industry (desired, but not essential)
- Comprehensive knowledge of Adelaide’s surrounding suburbs
- Strong communication skills.
- Experience with SIMPRO software an advantage.
- Intermediate Microsoft Office skills.
- Excellent time management and organisation.
- Ability to problem solve quickly.
- High attention to detail and accuracy.
- A strong work ethic with a team player attitude.
