Job Description Summary

The purpose of the Lead Facilities Manager is to deliver facility management and life cycle management to all Client Commercial, Retail and Industrial properties.

Job Description

Facilities Management includes both strategic asset management services and the day-to-day operations of the site to ensure no unplanned outages. In addition, this role supports the Facility Management Team in achieving client outcomes and contributes to innovation initiatives across the portfolio.

The control, induction and supervision of subcontractors and third-party suppliers are of utmost importance in managing the risk associated with FM Services.

About the Role:

• Monitor and implement asset management daily and ensure all preventative maintenance services delivered in accordance with environmental and safety guidelines / legislative requirements and site asset requirements
• Manage reactive maintenance via the help desk function, analyse data to ensure attendance and rectification times are met
• Management of onsite activities for all FM work orders and FM minor works to ensure delivery to scope and plan
• Reporting, investigating and closing out incident reports. Identify hazards and subsequent rectification plan
• Management of Site Risk Response (Emergency Action Plan), Critical Incident Preparedness & Response and associated monthly reporting
• Responsible for Properties hazardous materials management, hazardous materials risk and work permits
• Manage and control budget and cost expenditure for facilities management and operations in allocated site for both scheduled and adhoc maintenance works
• Review and approve quotes, invoices and purchase orders within delegated authority
• Process and matching of Preventative Maintenance and adhoc Reactive Maintenance invoices from Contractors against the correctly allocated purchase orders.
• Manage the client relationship with key business stakeholders

About you:

• Significant experience gained within facilities management with exposure to both hard and soft services
• Client relationship experience with a strong focus on customer service
• Proficient in desktop applications such as Word, Excel, and Outlook
• Strong contractor management experience
• Tertiary qualifications preferred and a willingness to undertake further study in Facility Management is required
• Stakeholder management experience
• Self-motivated and flexible
• Technical capabilities to understand assets involved and their life cycle management.
• Excellent communication and interpersonal skills
• Excellent time management skills including demonstrated ability to prioritise tasks and deliver on tight deadlines.
• An ability to work, interact and communicate effectively with stakeholders at all levels and build positive, lasting business relationships.
