Receptionist
PROPERTY NAME: Regional Office – Dallas, TX
Job Summary:
Serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system; keeps front desk operations running smoothly while maintaining a professional demeanor.
ESSENTIAL FUNCTIONS:
- Control multi-line phone system, directing calls appropriately
- Forward any messages from previous night/weekend voice mail messages
- Sort and distribute incoming mail in a timely matter, and deliver outgoing mail to the receptacle daily
- Greet visitors and communicate with employees upon their arrival
- Keep the schedules for the conference rooms updated on the shared Outlook calendar, post daily schedules of meetings outside each conference room
- Setup Conference room with coffee, cups, etc. , for meetings as needed
- Assist in deliveries and outgoing mail when needed, notify employees of packages received
- Keep the front lobby, break room, kitchen and reception area tidy and presentable
- Assist in miscellaneous administrative tasks as they are assigned
- Maintain inventory of office and kitchen supplies
- Prepare UPS waybills for any overnight shipments
- Maintain monthly Incident Report Log Book
- Update Property list as needed
- Equipment – monitor and maintain copier, fax, postage machine supplies and service
- General filing as needed
- Distribute faxes as received
- Perform any other related duties as required or assigned
Job Requirements

EDUCATION /EXPERIENCE:
- High School Diploma or equivalent
- At least one year of prior receptionist/administrative experience required
- Prior property management experience a plus
