Position Summary:The role of the Project Coordinator is to provide support to Construction Project Managers with reviewing project documentation for onsite amenity improvements, non-recurring capital expenditures, exterior improvements, and other large upgrades/repairs. In addition, this position will be responsible for reviewing bids, CRFs, and contract document submissions for accuracy and completeness prior to transmitting to the Construction Contract Administrator for release. The Project Coordinator will work closely with the EXO team. This position is also responsible for the accurate verification and reviewing of invoices, entered by the EXO team, for payment and assisting in other accounting and financial transactions. Exhibits strong commitment to the service needs of the internal and external customer. Represents the company in a professional and courteous manner. This is a hybrid position, candidate will need to report to the Des Moines Corporate Office.
Essential Job Functions:
- Communicates with Project Managers, vendors, etc, on questions and concerns affecting capital projects and follows procedures relevant to Construction Management and Accounting. Budgets, closing OCB s, completed jobs
- Liaison for EXO team
- Responsible for reviewing for completeness and accuracy, and processing of assigned construction required documentation including, but not limited to, Capital Request Forms, Requests for Proposals, change orders, pay applications, lien waivers, and affidavits as support to assigned Construction Project Managers.
- Process Capital Request Forms and associated documentation through the contract workflow process. This includes assisting with submission of Construction vendors through the vendor queue; including verification of correct documentation.
- Review construction invoices submitted by all parties, verifies accuracy, completeness, job coding, and percent complete. Researches and resolves invoice discrepancies prior to submitting to Accountant for approval. Follows up on delayed or missing invoices. Support with processing invoices related to property renovations through accounting workflow.
- Other duties as assigned.
Minimum Qualifications/Skills:
- High School Diploma or GED
- Proficiency in use of a personal computer and software programs such as MS Excel, Word, Outlook, PowerPoint
- Detail oriented with a focus on quality to maintain accuracy on reports, lists and pricing
- Excellent written and verbal communication skills
- Excellent time management, multi-task prioritization and organizational skills, and ability to consistently meet deadlines
- Ability to work independently in a fast-paced environment with a diverse group of people and customers
Desired Qualifications/Skills:
- Previous Accounts Payable experience
- 2 – 3 years in construction management/administration preferred
- Ability to read, understand and interpret contract documents, bid specifications and scope of work project schedules
Work Schedule:8am-5pm, Monday-Friday, or as needed to meet business needs.

This job generally operates in a professional office environment but may also occasionally operate in an outdoor environment. While performing the duties of this job, employees must be able to remain in a stationary position for long periods of time, occasionally move about the office, constantly operate a computer and other office equipment, communicate regularly and effectively with others, both written and verbally, and may occasionally lift up to 30 pounds.
This position requires close visual acuity to perform an activity such as preparing and analyzing data and figures, viewing a computer terminal, and extensive reading.
The ability and means to travel locally, overnight, in specific regions or states via automobile and airplane may be required.
