The Office Services Lead will possess an upbeat, positive, flexible, and enthusiastic personality and must be congenial with fellow employees, customers, stakeholders, and client to improve the overall workplace experience with mailroom services. Since this will be a customer-facing role, business casual dress code is required. Possess the ability to multi-task in a fast-paced environment and perform a variety of tasks, often changing assignments on short notice. Strong organizational skills, as well as the ability to prioritize and meet deadlines. Detailed and teamwork-oriented, this person will take the lead on resolving any customer service or delivery issues and will work closely with the mailroom manager for appropriate resolution.Job Description
Summary of Job Functions and Responsibilities:
- Expected to expand capability to perform a broader range of mail services through cross-training by the responsible supervisor.
- Process high volumes of incoming and outgoing mail and packages.
- Deliver mail and packages throughout the client location, following applicable distribution procedures.
- Maintain Inventory of mailroom and shipping supplies.
- Processing and handling of all accountable mail and packages – express overnight mail, certified/insured/registered mail, packages).
- Maintain USPS postage machine.
- Coordinate workflow within the team, including prioritizing jobs and delegating duties to associates.
- Monitor workflow to ensure jobs are completed efficiently, accurately and within deadlines.
- Assess incoming requests selecting the best equipment and resources for successful completion.
- Oversee sensitive and/or confidential documents and information.
- Train new employees on policies and procedures.
- Communicate with manager and client on job or deadline issues.
- Answer and reply to e-mail request in Inbox.
- Make sure the mail services work areas are clean and organized.
- Communicate to customers timeline to resolve any open issues. Oversee any special offsite request.
- Coordinate bulk mailings and shipping projects, including international mail.
- Provide management with billing information upon request.
- Other duties as directed by management. Promoted positive job relationships. Frequent interaction with internal and external customers including staff, clients, and management where courtesy and tact is required.
- Compliance with safe work practices, including company safety rules and practices. Timely completion of assigned safety training.
Qualifications and Experience Requirements
- High school diploma: college degree preferred.
- Minimum of two years of office-business environment preferred.
- Understanding of postal equipment, including standard software.
- Knowledge of international shipping processes.
- Awareness of postal rules, including international mail and shipments, with the ability to explain relevant regulations to clients.
- Ability to make independent decisions and use critical thinking skills.
- Must work well in a fast-paced/team environment.
- Diligence with emphasis on accuracy and quality.
- Ability to prioritize work to balance multiple projects and deadlines.
- Excellent verbal and written communication skills.
- Exceptional customer service skills.
- Intermediate computer skills required.
- Must be able to lift up to 50 lbs. on a regular basis.
- Must be able to work standing up for extended periods of time.
