Job Description Summary

The Launch Support Manager plays a critical role in ensuring the successful launch of new business. Interacting with the Launch Lead, Transition Project Manager, and the functional support groups, this person provides hands-on support to prepare the team to go live and operate efficiently. There are a significant number of systems, tools, and processes required to operate the business. The person in this role is fluent with all of the administrative requirements and capable of training the new team in their proper use.

Job Description

The Launch Support Manager is a highly organized and detail-oriented individual who works closely with various stakeholders to ensure the successful start-up of new business. This role requires a strong understanding of administrative processes, enterprise systems, as well as excellent communication and interpersonal skills.

  • One of the key responsibilities of the Launch Support Manager is to oversee the implementation of timekeeping and payroll requirements for a new account and also training the individuals who will have this responsibility in steady state.
  • Responsible for a variety of administrative duties during a transition including, but not limited to the following; creating employee and purchase requisitions, managing payroll, timekeeping, coordinate team room and job fair logistics, coordinating service requirements e.g. uniforms, assisting with on-boarding activities and new hire communications.
  • Makes arrangements for the work areas – working areas, job fairs, on-boarding sessions, and training
  • Coordinates logistics regarding employee introduction and meet and greets – Assists in the new hire paperwork and on-boarding
  • Leads the implementation of timekeeping by uploading employee information and schedules
  • Trains administrative support on payroll procedures and uploading requirements and schedule
  • Works closely with HR Services and Payroll to ensure employees are paid and a sustainable process is in place.
  • Works closely with the Communications team to prepare and distribute updates for people impacted by the transition.
  • Establishes and maintains business related files, including contract, staffing plans, and technical documentation.
  • Updates Quality Management System (Business Essentials) and internal intranet site (KHUB) with transition documents and external processes as required
  • Produces presentations and reports as required
  • Managing the documentation throughout the supported projects, ensuring that all project-related materials are organized and easily accessible.
  • Partnering with Communications to produce transition playbooks, project updates and present activity progress, communicating project updates to stakeholders and ensuring that all transition-related communication channels are up-to-date with fresh content.
  • Maintaining transition plans and work processes using Smartsheet.
  • Collect and assemble all project-related information and transferring it to the account owner at the end of the transition, ensuring that all project-related materials are properly archived and available for future reference.
  • Oversee and coordinate post-project activities, such as lessons learned, to ensure that all transition learnings are documented and considered when improving our work process.
