Job Description Summary:

This position will perform routine daily operations tasks including, but not limited to, maintaining physical space in a large corporate environment for a global professional services firm client. This individual will handle building-equipment emergencies on an ongoing basis and serve as a liaison between client employees and outside contractors that are called in to fix problems. He/she will affect conference and meeting setup including coordinating technology and distributing work orders as assigned, assisting with office relocations and service provider coordination, routine walkthroughs, assisting with cold and hot calls, conducting floor plan audits and furniture coordination, performing ergonomics tasks and setups, and maintaining the conference room supplies.

Job Description:

Essential Job Functions and Responsibilities:

  • Monitor meeting room calendars and setups daily. Order, deliver and set up catering orders upon request.
  • Monitor work order queue and complete tickets as requested.
  • Schedule preventative maintenance with Coordinator and respond to urgent maintenance calls.
  • Coordinate with service providers to ensure level of service is met.
  • Liaison with building management regarding common area services and maintenance.
  • Communicate daily with supply vendors and assist to resolve any issues.
  • Perform routine walkthroughs of the office to assess general conditions to help maintain the overall cleanliness.
  • and order/organization of the office space.
  • Support maintenance of up to date floor plans, email contacts and other associated documentation.
  • Support health and safety initiatives.
  • Coordinate with vendor on furniture adjustments and ergonomic needs.
  • Assist with office moves and employee relocations.
  • Issue furniture/office keys and track as assigned.
  • Ensure office equipment is properly maintained and functioning. Stock supplies as needed and troubleshoot any issues.
  • Oversee kitchen amenities to ensure proper function of equipment and supplies are stocked.
  • Support business continuity and contingency planning.
  • Maintain daily logs and stat information for tracking and reporting purposes.
  • Other duties as assigned and other administrative tasks.
  • Support facility activities and other service lines as necessary.

Job Requirements & Qualifications

  • High school diploma or equivalent (GED)
  • 3-5 years’ experience in a professional office or corporate environment providing general Facility Services support
  • Exceptional customer service skills
  • Strong interpersonal skills, and the ability to deal professionally with clients, vendors and associates on the phone and in person
  • Professional demeanor and appearance
  • Ability to adapt to different people, situations and changing priorities with grace and flexibility as well as demonstrating an appropriate sense of urgency
  • Reliable and punctual
  • Copier/fax/FedEx/postage machine knowledge
  • Strong organizational skills, with demonstrated ability to multi-task and prioritize effectively
  • A strong focus on detail and accuracy of work
  • Strong time management skills
  • Ability to communicate openly and effectively both verbally and in writing in business standard English and in local language as appropriate
  • Basic knowledge of Microsoft Office suite and Outlook or Lotus Notes
  • Knowledge of AV equipment and limited technology in a meeting environment
  • Able to lift up to 50Lbs.
