Job Description Summary

The facilities Coordinator is responsible for controlling the reactive and preventative maintenance program to ensure the site operates within the Client’s and Company’s requirements and guidelines in a safe and timely manner.

About the role

Reporting to the Facility Manager and providing support to all other functions. The Facility Coordinator will be responsible for assisting with the reactive and preventative maintenance program for a correctional facility to ensure the site operates within the Client’s and Company’s requirements and guidelines in a safe and timely manner. Predominantly a scheduling-based roll with the requirement to enter the prison to liaise with clients and contractors as required.

What You Will Be Doing

The Facility Coordinator assists in providing operational Facilities Management Services on behalf of the client. This role will be a key contact involved in day to day operations including but not limited to:

  • Coordinate cell refurbishment program
  • Coordinate Minor Works including providing quotes to OM and arranging works
  • Delegation of required works, both reactive and preventative to contractors or onsite trades
  • Client invoice review and updates at EOM
  • Conduct contractor spot checks (minimum 2 per month)
  • Review and accept contractor SWMS
  • Ensure all reactive and PM jobs are completed within KPI
  • Complete CDOs to ensure PM schedule is kept up to date
  • Assist with maintaining asset registers via Change of Direction Orders
  • Assist with annual condition assessment of assets on site for Asset Management Plan
  • Follow up vendors for submission of invoices in timely manner
  • Review monthly accruals against PM and reactive works, and follow up outstanding invoices
  • Undertake compliance/risk assessments as directed by Performance, Reporting & Compliance Manager
  • Ensure contractor personnel are appropriately inducted with C&W and DJCS
  • Provide escorts where required, including booking of escorts and updating registers
  • Issue and manage required permits to work (e.g. confined space, hot work, work at heights, fire isolations, etc.)

About You

You will be a self-motivated individual who thrives in a team environment and works well autonomously. You will also be proactive in the delivery of services to meet or exceed the project KPIs and mitigate any project abatement risk. Minimum requirements include:

  • 2 years’ experience in Administration and/or Contractor Scheduling role
  • Previous PPP experience will be highly regarded
  • Intermediate or Advanced skills in Microsoft Office programs (Word and Excel essential)
  • Experience in JDE E1 highly desirable (or similar web-based CMMS software)
  • Valid Victorian Driver’s License
  • Quality-orientated with a high level of attention to detail/ accuracy
  • Strong communication and interpersonal skills
  • Demonstrated analytical or problem-solving skills
  • Ability to seek assistance as required
  • Demonstrated capacity to address complex problems within a changing work environment.
