Facilities Administrator – 6 month FTC

Job Description Summary

We’re looking for a Administrator to join our Facilities Management team on a 6 month fixed term contract basis, supporting a client site on a new and prestigious account.
You will be responsible for administrative coordination, FM support, vendor management, and ensuring efficient office operations, as well as responding to client requests in a timely manner and coordinating works between internal / external stakeholders.

Job Description

Core Responsibilities:

  • Oversee and manage administrative tasks related to the corporate office environment, including document management, scheduling, and records maintenance.
  • Providing support to client for managing return to office / space planning requests.
  • Managing tickets / data in client systems.
  • Providing support to local FM team for event support/setups, space planning & move requests etc.
  • Assist client with gathering data to support requests for information from internal / external stakeholders.
  • Collaborate with service providers and vendors for various office services such as janitorial, maintenance, catering, and security, ensuring timely and efficient service delivery.
  • Maintain detailed records and generate reports related to office operations, expenses, and service performance for analysis and decision-making.
  • Identifies opportunities to learn more about CW commercial environment.
  • Uses all available internal resources, systems, and tools to help increase team productivity.
  • Identifies and improves processes, systems, and work products to continually exceed internal and external client expectations.
  • Identifies solutions that reduce expenses.
  • Shows initiative in identifying, recommending, and pursuing new opportunities.
  • Creates collaborative opportunities and communicates proactively with all relevant levels of the organisation to obtain and share information.
  • Recognises the needs and welcomes the unique contribution and diversity of all colleagues and clients.

Skill and Experience

  • Prior experience of managing services / administrative support in a corporate or client facing environment.
  • Ability to manage multiple tasks simultaneously and prioritize responsibilities effectively. Escalating where required.
  • Knowledge of facilities management systems & technology, Health & Safety, project mgmt. etc
  • Proficient in use of Microsoft office packages.
  • Experience in developing strong client, stakeholder & vendor relationships.
  • Experience in: Facilities Management, Building Services or Property Management
  • Membership or qualification in IWFM or IOSH desirable but not mandatory
