Executive Director of Residence Life and Housing – On Campus @ Cleveland State University (Student L

Greystar Student Living has partnered with Cleveland State University to provide students with a comprehensive residence life and housing program. The CSU program is made up of 2200 beds in four unique student housing communities. The Greystar team at CSU includes residence life professionals, resident assistants, and facilities, occupancy management, administrative and marketing professionals. Greystar is seeking an experienced student housing professional to lead the residence life and housing department at Cleveland State University. The Executive Director of Residence Life and Housing will report to both Greystar leadership (Director of Student Living) and CSU Associate Vice President of Hospitality and Campus Services.
The Executive Director will attend weekly/bi-weekly CSU Hospitality and Campus Services meetings and Campus Engagement and Diversity Equity and Inclusion Divisional meetings to communicate with campus partners. The Executive Director will have operational budgetary oversight of approximately $6. 4 million.
The Executive Director of Residence Life and Housing is responsible for managing the overall operation of the Residence Life and Housing department at CSU. With a focus on safety, community development, relationship building, co-curricular engagement, and inclusion, the Executive Director leads a team of dedicated staff members committed to making CSU Residence Life a home away from home for students. Through direct oversight, supervision, and delegation, the Executive Director strives to ensure the residential experience is filled with memory-making, growth opportunities, and a sense of community found only in CSU’s residential facilities.
Under the direction of the Executive Director, professional and paraprofessional residential life staff ensure safety and maintenance issues are addressed, provide educational programming, promote community standards and hold residential students accountable through the code of student conduct and resident handbook, recruit additional staff, assist students with transitional needs, facilitate housing assignments, manage occupancy, oversee facility management, and maintaining an environment that is conducive to living and learning. The Executive Director serves as a member of the Euclid Avenue Development Corporation and will participate in a campus on-call rotation.

JOB DESCRIPTION

Essential Duties and Responsibilities: Cleveland State University

  • Lead the Residence Life and Housing Department in fostering a residential environment conducive to safety, engaged learning, respect, and wellness.
  • Oversee the implementation of programs and operations, which support the mission of Campus Housing and Cleveland State University.
  • Work in partnership with CSU, Greystar, and other stakeholders to ensure successful facility management, operations, and occupancy. Oversee university housing of over 2200 beds, with plans to expand.
  • Supervise all residential transitions including move-in, move-out, break housing, and respite housing.
  • Directly and indirectly, supervise Residence Life and Housing professional and paraprofessional staff; directly involved with recruitment, hiring, and training of staff.
  • Oversee housing occupancy and billing process and procedures; ensure timely room change processes and maintenance of all assignment records including assignments and temporary assignments. Ensure the maintenance and delivery of weekly occupancy reports.
  • Ensure the management and response of critical incidents/resident interventions and communicate all pertinent information as appropriate; work in collaboration with Campus Engagement, Diversity, Equity, and Inclusion staff to address and respond to crises and provide appropriate follow-up.
  • Manage and update processes for all forms and documents on a consistent schedule, forms and documents include maintenance request forms, staff manuals, housing brochures, license agreements, housing applications, Resident Handbook.
  • Review, implement, and develop as needed effective residence hall policies and programs that foster an environment conducive to sleep, study, and community engagement.
  • Create departmental goals and coordinate institutional effectiveness assessment efforts and reporting.
  • Engage regularly with the community; meet with students, families, and other stakeholders to gain insight into the needs and concerns and respond to suggestions.
  • Maintain confidentiality of student records, personnel matters, disciplinary matters, administrative assignments, budgets, and other sensitive information; adhere to FERPA
  • Act independently in appropriate areas of responsibility, including room changes, fines, and maintenance needs.
  • Ensure that accurate housing information is provided to current students, prospective students, families, university staff, and faculty; facilitate tours and participate in onboarding experiences as requested.
  • Maintain weekly office hours.
  • Lead Weekly Staff Meetings in collaboration with the RLH Leadership Team.
  • Oversee Residence Life and Housing department budgets. Actively leads the preparation of the annual budgets and financial plan and the monthly maintenance and facilities forecasting.
  • Represent Campus Housing on university committees as assigned. Serve as a member of the CARE Team and Chair the Housing Contract Release Committee.
  • Ensures the appearance and physical aspects of the properties meet CSU’s and Greystar’s established standards through routine site and safety inspections and communicates concerns and requests for capital as needed to provide for the physical upkeep of each property in the portfolio.
  • Ensures the coordination of work activities and services from vendors, consultants, and other contractors as needed by researching and identifying needs, negotiating contracts, monitoring progress, processing invoices, and ensuring open communication between consultants and company project team members.
  • Completes various human resource, financial, administrative, and other reports, and analyses.
  • Approves invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased, ensuring the validity of certificates of insurance, coding charges to appropriate Chart of Account codes, and managing communication between the vendor/contractor, accounting, and the client/owner as needed.
  • Other duties as assigned by Cleveland State University and Greystar.

Essential Duties and Responsibilities: Greystar

  • Develops the annual budget(s) for the communities comprising Cleveland State University’s Residence Life and Housing department and oversees attainment of budgeted goals by analyzing and evaluating financial statements, reconciling monthly statements against approved budget, and working with the Controller, client/owner, and others to address and resolve gaps in the financial performance of the portfolio. 
  • Ensures that the portfolio and individual communities meet the established operational, financial, and business performance goals by inspecting properties, reviewing financial, market, and operational reports, and developing and implementing appropriate action plans to achieve results. 
  • Provides leadership to the Leadership Team by interviewing, hiring, and training team members, and by managing their performance in accordance with Company policies, values, and business practices.  Oversees the appropriate and adequate staffing at each community and supervises the acquisition, development, and management of community team members. 
  • Promotes client satisfaction and retention through timely reporting and on-going communication about the performance of the properties and responds quickly and with urgency to client/owner concerns, questions, issues, and requests. 
  • Reviews, analyzes, and interprets market data to identify emerging trends that may impact the performance of the portfolio, and works with the team and others to develop and implement market plans that drive occupancy and revenue growth. 
  • Ensures that the appearance and physical aspects of the properties meet the Company’s and owner’s established standards through routine site and safety inspections and communicates concerns and requests for capital as needed to provide for the physical upkeep of each property in the portfolio. 
  • Coordinates work activities and services from vendors, consultants, and other contractors as needed by researching and identifying needs, negotiating contracts, monitoring progress, processing invoices, and ensuring open communication between consultants and Company project team members.
  • Completes various human resources, financial, administrative, and other reports and analysis, and performs other duties as assigned or as necessary. 

Required Qualifications 

  • A master’s degree in higher education, counseling, student affairs administration, business management, or other relevant field or equivalent experience.
  • 6-10 years of professional experience in residence life and housing that include crisis management, facilities and housing operations, student advising, program planning, and supervision of student staff.
  • Demonstrated experience developing, mentoring, and motivating a diverse professional staff team.
  • Demonstrated experience building collaborative partnerships with faculty, administrators, students, parents/families, and campus partners.
  • Detail-oriented and self-motivated with ability to work independently, as a leader, and a collaborative member of a team.
  • Inclusive, diplomatic, detail-oriented, and articulate written and verbal communication skills.
  • Ability to implement problem solving strategies to manage everyday residential challenges such as crisis response, conflict management, community development, and student/family concerns in a fast-paced environment.
  • A demonstrated commitment and passion for professional growth in the areas of student learning and development, community development, supporting students’ well-being, and best practices in residence life programs and operations.
  • Knowledge of equity and inclusion issues and laws that impact higher education and particularly community living (all gender spaces, Title IX, affinity-based living learning communities, ADA compliance).
  • Demonstrated commitment to expand knowledge and awareness of diversity, equity, and inclusion, understanding cultural differences, social identities, and historical inequalities, and strategies for interacting effectively with people different from oneself.
  • Demonstrated experience using an equity, diversity, and inclusion lens in delivering programs and services practice (i.e., staffing practices, supervision, training, housing policies, programs, and services)
  • Familiarity with database systems such as The Housing Director (a StarRez system), Entrata, Yardi 7s, and PeopleSoft.
  • Strong budgetary and billing experience.
  • Previous experience with new contracts, development, and acquisitions.

Preferred Qualifications

  • Experience developing or working within a Residential Curricular Approach
  • Understanding of emerging issues in higher education, particularly in student affairs and residence life and housing.
  • Strong analytical skills with the ability to collect, organize, analyze and display information in ways that are easy to interpret and spot patterns, trends and correlations. Examples of these representations include charts, graphs, infographics, and other pictorial diagrams.
  • Demonstrated skills in public speaking, facilitating conversations, and presenting to families, students, staff and other constituents.
  • Involvement in local, regional, and national organizations supporting the mission of Housing, as well as in the field of student affairs (such as ACUHO-I, ACPA, and NASPA).

The salary range for this position is $100k – $110k

Compensation is based on geographic location and individual pay decisions will vary based on demonstrated job related skills, knowledge, experience, education, certifications, etc.

Corporate Positions: In addition to the base salary, may be eligible for an annual performance bonus that is based on individual and company performance.

Onsite Property Positions: In addition to the base salary, may be eligible for a discretionary weekly, monthly and/or quarterly bonus based on budget.
