Executive Administrative Assistant

The Executive Administrative Assistant will assist and support Directors and teams with a variety of projections and ongoing administrative functions. Exhibits strong commitment to the service needs of the internal and external customer. Represents the company in a professional and courteous manner.

Essential Job Functions:

  • Manages and maintains all financial records for expenditures and ensures proper billing and allocation of support department expenses.
  • Coordination and preparation of travel plans including flight and hotel arrangements for internal and external stakeholders as well as key members of the Support Operations Department.
  • Manages executive employee expense reports and is responsible for preliminarily reviews of other support department team s expense reporting before submitting for final approval.
  • Manages, maintains, and analyzes key performance level data for various support departments.
  • In charge of coordinating training logistics for Support Operations in the Dallas office.
  • Prepare and facilitate the process for onboarding new team members in the Support Operations Department.
  • Provides professional, pro-active and ongoing support to VP of Support Operations, Directors, Managers, employees, department staff and customers.
  • Develops and maintains professional working relationships with all internal and external BH stakeholders. Displays a positive attitude in all interactions and proactively works to resolve concerns.
  • Oversees the coordination and set up for office meetings and other office events. Communicates timely with all parties regarding agendas and meeting details.
  • Updates records, files and documents as requested and maintains utmost confidentiality
  • Responds timely to requests, messages and inquiries. Assists customers, vendors and co-workers professionally.
  • Other duties as assigned

Minimum Qualifications/Skills:

  • Minimum of 3-5 years experience in an Executive Assistant role or similar
  • Strong computer and technology skills; proficient with MS Office Suite and Adobe software
  • Strong analytical, auditing, and reporting skills
  • Ability to thrive in a fast-paced environment
  • Ability to work with a diverse group of people and customers
  • Excellent time management skills; demonstrated ability to prioritize and handle multiple tasks

Desired Qualifications/Skills:

  • Two-year degree in Business, Management, or related field

Work Schedule:8am-5pm, Monday-Friday, or as needed to meet business needs.

Physical Requirements/Environment:The physical requirements described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

This job generally operates in a professional office environment, but may also occasionally operate in an outdoor environment. While performing the duties of this job, employees must be able to remain in a stationary position for long periods of time, occasionally move about the office, constantly operate a computer and other office equipment, communicate regularly and effectively with others, both written and verbally, and may occasionally lift up to 30 pounds.

This position requires close visual acuity to perform an activity such as preparing and analyzing data and figures, viewing a computer terminal, and extensive reading.

The ability and means to travel locally, overnight, in specific regions or states via automobile and airplane may be required.
