Commercial Office Coordinator

The Commercial Office Coordinator reports to the Commercial Property Manager and coordinates facility administration for a regional office. Coordinates mailroom performance and commercial lease compliance processes. Assists in day-to-day management of facility operations. The successful candidate will embody and work to reinforce MAA’s Core Values. Those values include:

Duties and Responsibilities

  • Manages the facilities administration for a regional office including, but not limited to, managing vendor contracts, maintaining inventory in corporate lounge, coordinates scheduling and setup for training room(s); coordinating corporate departments for furniture purchases, scheduling special cleaning and other related tasks.

  • Organizes and manages commercial departmental leases and files; prepares lease files after execution and updates pertinent reports; manages tenant allowance processes.

  • Serves as primary contact for the Commercial Cafe software program; monitors activity and assists tenants as needed with implementation of program.

  • Processes invoices with appropriate account codes; interacts with accounting department to ensure timely payment and process.

  • Coordinates monthly accounts receivable meeting; prepares and processes default notices as needed.

  • Assists Commercial Property Manager as needed with operational management duties.

  • Performs other related duties as assigned to meet the needs of the business.

Required Qualifications

  • High school diploma/GED

  • Two to three years of experience in a role related to people administration, facilities administration and/or lease administration required

Preferred Qualifications

  • Prior experience with facilities administration

  • Prior experience with lease administration and processing

Knowledge, Skills, and Abilities

  • Knowledge of facilities administration and general operations

  • Knowledge of lease administration and processing

  • Skill in developing and maintaining working relationships with both external stakeholders (tenants, vendors) and internal stakeholders (company associates) to maximize organizational productivity

  • Skill in collaboration within and across teams while being proactive in communication style to anticipate issues and provide prompt responsiveness

  • Skill and ability to clearly and concisely communicate verbally and in writing

  • Ability to maintain confidentiality and maintain appropriate discretion

  • Knowledge and skills to manage multiple tasks, organize, prioritize, and meet deadlines

  • Proficient in Microsoft Office including Word, Excel, and Windows
