Job Description Summary

This position will lead client’s project management team servicing the client’s administrative office portfolio based in Louisville, KY.
*This role will manage/coordinate the implementation of cross-functional, multi-geographic or multi-business line strategies in line with PMO, OP & FM strategies.
*This role will be responsible for the adoption of best practices for CRE Project Management and will ensure that standards and processes for all real estate and project related activities are implemented, created and updated; and,
*This role will also develop, monitor and report real estate and project related capital expenditure budgets (CIP List & CIP Cash Flow -Capital Budgeting Process)

  • This role will manage/coordinate the implementation of cross-functional, multi-geographic or multi-business line strategies in line with PMO, OP & FM strategies.
  • This role will be responsible for the adoption of best practices for CRE Project Management and will ensure that standards and processes for all real estate and project related activities are implemented, created and updated; and,
  • This role will also develop, monitor and report real estate and project related capital expenditure budgets (CIP List & CIP Cash Flow -Capital Budgeting Process)

Roles and Responsibilities

  • Lead cross-functional projects and programs end-to-end using a formal PMO process:
    • Develop the vision and objectives
    • Assess current state
    • Develop/define the program and scenario development
    • Monitor the implementation of each project
  • Ensure seamless integration and coordination of service delivery and standards across functions, program and projects.
  • Performs internal quality control reviews to ensure projects and programs are proceeding according to scope, schedule, budget and quality standards; analyze issues and troubleshoot problem areas; develops risk mitigation strategies; monitors and tracks resolution of issues and conflicts to ensure critical path deliverables.
  • Provide standardized cross project status reporting for programs regarding project milestones, deliverable, dependencies, risks and issues, communicating across leadership.
  • May provide consultation on complex large-scale projects that integrate into an organized PMO program project strategy.
  • Define success criteria and disseminate them to involved parties throughout program life cycle.
  • Develop and deliver program presentations to various audiences, including project team, clients, CEO and key stakeholders.
  • Set and continually manage PM team expectations while delegating and managing deliverables with team members and stakeholders.
  • Participate in establishing practices, templates, policies, tools and partnerships to expand and mature these capabilities for THE CLIENT.
  • Manage the main Playbook and process documentations such as the project initiation and project funding documentation.
  • Set up tools and standards for managing the portfolio of projects.
  • Ensuring goals are met in areas including customer satisfaction, quality and team member performance.
  • Implementing and managing changes and interventions to ensure portfolio goals are achieved.
  • Meeting with stakeholders to make communication easy and transparent regarding issues and decisions on services.
  • Establish Lessons Learned process, feedback and implementation of process improvement.

Job Requirements

  • Strong leadership, diplomatic and motivational skills including the ability to lead up, across and down multiple business and technology organizations as well as lead and develop dedicated and variable project managers supporting the account
  • Proven ability to work creatively and analytically in a problem-solving environment demonstrating teamwork, innovation and excellence
  • Ability to build and maintain relationships by engaging business leaders to establish credibility, solve problems, build consensus and achieve objectives
  • Experience in successfully leading projects and programs to on-tine, on-schedule and within budget
  • Excellent communication (written, verbal and presentation) and interpersonal skills
  • Self-motivated, decisive, with the ability to adapt to change and competing demands
  • Understanding of interdependencies between technology, operations and business needs
  • Demonstrate a functional acumen to support how solutions will address client goals while maintaining alignment with industry best practices
  • Strong financial acumen including experience drafting and submitting budget proposals and recommending subsequent budget changes where necessary, managing and reporting total active project Cash Flows, and proficiency in Capital Budget planning and execution.
  • Extensive understanding of project and program management principles, methods and techniques
  • Proven success in providing leadership for program team by building and motivating technical and non-technical team members to meet program goals, adhering to their responsibilities and milestones
  • Experience influencing and gaining buy-in from executives’ sponsors, team members, stakeholders and peers
  • Experience working both independently and, in a team-oriented, collaborative environment
  • Flexible with proven ability to conform to shifting priorities, demands and timelines through analytical and problem-solving capabilities
  • Adept at conducting research into project-related issues and products
  • Must be able to learn, understand and apply new technologies
  • Technically competent with various software programs, including but not limited to Microsoft Office (Word, Excel, PowerPoint, Visio), and Microsoft Project
