Job Description Summary

The purpose of this position is to provide management/leadership for the facilities organization at a specific facility, set of buildings, or campus environment. The Assistant Facility Manager is charged with the day-to-day implementation of policies, procedures and programs that will assure a well-managed, well-maintained building, placing maximum emphasis on positive response to the concerns and needs of the tenants, environmental health and safety, and quality programs, in coordination and conjunction with the Owner’s goals and objectives. The position coordinates the activities, financials, vendors and manpower required for current and future needs of the building and operation.
The Assistant Site Services Manager will lead and motivate a high-performing team in order to provide a world-class working environment for the building occupants. As the assistant leader and decision maker for your zone, you will be responsible for assisting in successful developments, strategic/operational initiatives, and outstanding workplace experience. Our ideal candidate will be a customer-service driven leader with strong industry knowledge and the ability to work alongside the Site Services Manager to implement creative strategies that will contribute to Google’s success.

Job Description

KEY ACCOUNTABILITIES

Personnel Management:

  • Manage high quality on-site staff through implementation of effective recruitment, training, coaching and development programs

  • Effectively perform and document appropriate employee evaluations including, but not limited to, performance reviews and corrective action reviews, onboarding paperwork and termination

  • Ensure direct team follows the Cushman & Wakefield policies and procedures

  • Process management and maintenance staff hours, occupants bill back invoices through accounting, expense reports, and check requests for review and approval

Administration, Communication & Risk Management:

  • Prepare and coordinate bid proposals, service contracts and approved invoices. Assist in bidding process and assist Site Services Manager their efforts to ensure compliance with C&W’s policies and procedures

  • Perform building inspections monthly per APPA standards

  • Manage property risk effectively by communicating incidents and potential liabilities

  • Assist Site Services Manager in writing and developing building communication and incident reporting

  • Assistant Site Services Manager shall be thoroughly familiar with the management contract and all requirements contained therein and meet all internal and external key performance indicators

Day to Day Operations

  • Assist with monthly and quarterly management reports, as well as annual budget preparation

  • Review contract specifications and make recommendations to the Site Services Manager as appropriate, for necessary changes or updates

  • Prepare and code invoices for Site Services Manager’s approval

  • Monitor and maintain the facility maintenance work order system and prepare monthly reports for facilities manager on status of occupants work orders

  • Promote and foster positive relationships with occupants and owners and track service calls as required

  • Ensure on-going contracted vendor services are performed on schedule and on budget, ensuring services meet contract specifications and building occupant needs

  • In partnership with the Procurement team, monitor and ensure that tenants and vendors comply with insurance requirements and coordinate all claims as required

Workplace Experience

  • Proactively seek out process improvements and moments that surprise and delight the building occupants

  • Responds to and resolves building occupant concerns; meets with building occupants to ensure that their needs are met and that high quality customer service is achieved

  • Responsible, at all times, for a positive and prompt response to requests from building tenants and occupants and for the implementation of ongoing contract programs to constantly assess tenant and occupant needs and to assure problems are being solved promptly and to the mutual benefit of the tenant, owner, and the properties

JOB REQUIREMENTS & QUALIFICATIONS

Education:

  • Four year college/university degree or any work experience equivalent

Certifications:

  • CFM, FMA industry certifications recommended; other Engineering, Business or technical training or certifications a plus

  • Trade School

Targeted Competencies:

  • Excellent technical, interpersonal and analytical skills required

  • Excellent written and oral communications skills

  • Strong computer and systems knowledge

Physical Requirements:

  • While performing the duties of this job, the employee is regularly required to travel from floor to floor and may be required to travel outside between buildings in varying outdoor weather conditions

  • The employee may also be regularly required to sit or stand for prolonged periods of time

  • Regularly use hands to operate office machinery including, but not limited to, telephones, computers, fax, and photocopy machines

  • Regularly required to walk, talk, and hear

This position requires that the employee perform services for a customer at a customer facility. The customer mandates that all service providers entering its facility be fully vaccinated against COVID-19.
