Do you excel at keeping teams organized and on target? If so, our Assistant Project Coordinator position may be just the spot for you! This role will be based in our Denver, CO office anprovides job cost administration for all new projects being built by our Investments team in the Western region of Denver, Seattle, Salt Lake City, and Texas; including but not limited to vendor management, monthly job cost input and adjustments, monthly draw processing, check issuance, lien release tracking, contract preparation, expense reports and weekly/monthly production report distribution.
Providing administrative support and clerical responsibilities for the entire Investments Team and the Denver office as needed is also an important function of this role.
Technical Skills:
Must be able to read, write and interpret English.
Must be able to function efficiently in Yardi, Word, Excel, and Power Point. Must be able to manage vendor status in Vendor Caf .
Must be able to accurately perform accounting and job cost functions within the Yardi system and provide accurate reporting and information, internally and externally.
Must be able to complete job cost functions in a timely manner to meet monthly deadlines.
Must be able to complete contracts within the described timeline.
Personnel Management:
Must be able to effectively communicate with all levels of management and general contractors.
Must be able to execute multiple projects concurrently.
Must be able to effectively prioritize and meet accounting deadlines. Must communicate effectively to Gables associates, vendors, and contractors.
Administrative Ability:
Must be able to accurately input, track, file and compile monthly draw information, lien and job cost information.
Must be able to accurately input and track monthly invoices, draws, expense reports, and associate payroll time entry.
Must be able to accurately track vendor status in Vendor Caf .
Participate in company training classes and meetings, as required. Support Director of Project Coordination and Regional Vice President of Construction in various planning, meetings, coordination, support, and administrative functions.
Quality Control:
Ensure that all invoices, draws, contracts, files, insurance certificates and lien releases are accurately coded, entered, filed, and executed in accordance to Gables policies and practices.
Maintain an organized, safe work area at all times.
Ensure customer satisfaction including residents, managers, maintenance managers, associates, subcontractors, general contractors and vendors.
Customer Service:
Must maintain a high level of customer service at all times. Communicate effectively with fellow associates, supervisors, vendors and general contractors.
Other Functions:All other tasks directly related to job function as assigned by Director of Project Coordination and Regional Vice President of Construction.
Education:Minimum of high diploma or equivalent. This position requires the ability to read and write English. The position requires the ability to accurately perform mathematical and accounting/payables functions.
Experience:Must have experience in administrative field, including experience with Word, Excel, Power Point, and Yardi (Yardi training may be required). Candidate must possess exceptional organizational skills. Experience in customer service and customer satisfaction.
Compensation: $25-28 hourly plus bonuses and health/retirement benefits
