Job Description Summary

Under the supervision of the Facilities Manager, the Assistant Facilities Manager supports the facilities organization at a specific location, set of buildings, or campus environment. The Assistant Facilities Manager is charged with supporting the day-to-day implementation of policies, procedures, programs and workplace services delivery that provides a well-managed and well-maintained building. Places an emphasis on a positive response to the concerns and needs of the tenants, environmental health and safety, and quality programs, in coordination with the client’s goals and objectives.

Job Description

C&W and the Client will jointly develop a work plan, which shall set forth a reasonably detailed schedule and scope of services applicable to each Client Location based upon Client’s needs.
Examples of AFM scope items could include some or all of the following:
* Use data to identify opportunities to improve processes and/or field education
* Create, enhance team and field process documents
* Creating training materials and training videos on facility functions (how to operate XYZ) including decision trees
* Programmatically providing Operations Managers the tools they need to effectively operate facilities
* Manage field compliance standards, develop a plan to increase compliance percentages and close gaps on missing training and education
* Project manage rollback retrofits such as HVAC upgrades and relamping projects
* Assist Client with the oversight of the Service Channel work order system. This can include assisting local clients with inputting tickets, providing updates, managing vendor performance, scheduling vendors, or assisting vendors with closeout issues and aging work orders.
* Field incoming emails or requests from Client facility manager team to support individual tasks or needs specific to FM. Client dedicated C&W email address will be generated prior to going live to answer questions and specific needs for Client. AFM will be available to perform additional tasks reasonably requested by the Client.
* Troubleshoot reactive work order requests if the request can be handled without dispatching technician.
* Escalate any questions or issues to Client leadership if C&W is made aware of maintenance requests being made that do not meet Client standards.
* Tailor a reporting schedule so that the Client will be aware of maintenance issues and schedules.

Assume any pre-existing reporting efforts that may currently be in place with CLIENT

* Analyze the data available through ServiceChannel and other vendor portals including but not limited to:
o Vendor usage
o Spend data
o Speed of work complete
o Ability of vendors to complete work within the requested schedule
o Work request volume by work type and site

Provide recommendations to the Client resulting from the data analysis mentioned above.

Skills:
* Strong background in retail operations, facilities or program management.
* Strong data skills in google sheets and smartsheets
* Strong skills in Google Doc & Slides
* Strong written communication skills
* Strong attention to detail
* History using ServiceChannel or a Facility Management software similar to
* Project or Program management experience
* Change management experience
* Document design experience such as In-Design/Adobe
* Workflow and decision tree experience using a tool such as Miro
* Knowledge of ServiceChannel or a similar Facility Management tool

IMPORTANT EDUCATION
* Associate’s degree in facilities management, building, business or other related field required
* Bachelor’s degree preferred

IMPORTANT EXPERIENCE
* A minimum of 3-5 years relevant experience, preferably in commercial or industrial real estate with facility management experience required
* Experience in maintenance, construction, engineering and all facets of property operation and building management preferred
* CMMS/Work Order Management experience is preferred

ADDITIONAL ELIGIBILITY QUALIFICATIONS
* Certified Facility Manager (CFM), International Facilities Management Association (IFMA), Building Owners and Managers Association (BOMA) industry certifications recommended; other Engineering, Business or technical training or certifications a plus
* Ability to read and understand construction specifications and blueprints
* Proficient in understanding management agreements and contract language
* Skilled in Building Management Systems maintenance and monitoring
* Excellent computer and systems knowledge; Strong literacy in Microsoft Office Suite (MS Word, Excel, PowerPoint)
* Strong discipline of financial management including financial tracking, budgeting and forecasting
* Knowledge of Financial Systems (Yardi a plus)

WORK ENVIRONMENT
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. May be required to travel outside between properties in varying weather conditions.
