Job Description Summary

Under the supervision of the Senior Facility Manager , the Senior Assistant Facilities Manager supports the facilities organization in a campus environment.
The Senior Assistant Facilities Manager supports the day-to-day implementation of vendor management policies, procedures, programs, and workplace service delivery.

Job Description

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Vendor Coordination and Management:

  • Collaborate with procurement to Identify, evaluate, and select vendors for pest control, janitorial services, garage sweeping, landscaping, interior plant maintenance, breakroom services, and stock management.
  • Develop and maintain strong relationships with vendors, ensuring that their performance meets the required standards.
  • Conduct regular vendor performance evaluations and provide feedback to ensure continuous improvement.
  • Work closely with procurement, who will negotiate contracts and pricing agreements with vendors to obtain the best possible terms and conditions.
  • Monitor vendor compliance with contractual obligations, service level agreements, and regulatory requirements.

Budgeting and Cost Management:

  • Collaborate with the Senior FM to develop and manage budgets for facility services.
  • Monitor and analyze vendor costs, identify cost-saving opportunities, and negotiate favorable pricing agreements.
  • Track and report on expenses related to pest control, janitorial services, garage sweeping, landscaping, interior plant maintenance, breakroom services, and stock management.

Service Delivery Oversight:

  • Coordinate and schedule vendor services to ensure timely and efficient delivery.
  • Monitor the quality of vendor services and address any issues or concerns promptly.
  • Conduct periodic inspections and audits to ensure compliance with safety, health, and environmental standards.
  • Collaborate with internal stakeholders to understand their needs and ensure that vendor services meet those requirements.
  • Implement and maintain processes and systems to track and report on vendor service performance.

Breakroom Services and Stock Management:

  • Manage breakroom service vendors, including vending machines, coffee stations, and snack supplies.
  • Monitor inventory levels and order breakroom supplies in a timely manner.
  • Collaborate with vendors and internal stakeholders to identify and implement cost-saving measures without compromising quality.

Request Management:

  • Receive and respond to requests related to vendor services promptly and professionally.
  • Prioritize and assign requests to appropriate vendors, ensuring efficient resolution.
  • Follow up on request status and ensure timely completion.

IMPORTANT EDUCATION

  • Associateâ™s degree in facilities management, building, business or other related field required
  • Bachelorâ™s degree preferred

IMPORTANT EXPERIENCE
A minimum of 3-5 years relevant experience, preferably in commercial or industrial real estate with facility management experience required
ADDITIONAL ELIGIBILITY QUALIFICATIONS

  • Ability to read and understand construction specifications and blueprints
  • Proficient in understanding management agreements and vendor contract language
  • Skilled in Building Management Systems maintenance and monitoring
  • Excellent computer and systems knowledge; Strong literacy in Microsoft Office Suite (MS Word, Excel, PowerPoint)

WORK ENVIRONMENT
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. May be required to travel outside between properties in varying weather conditions.
