Job Description Summary

The Assistant Facilities Manager will assist in supervising the activities of all outside contractors and onsite staff. This individual will also ensure that facility maintenance services are being provided in a proper and cost-effective manner.

Essential Functions

  • Provide day-to-day supervision of engineering staff’s daily activities and ensure that maintenance issues are handled in a timely manner, so facilities can continue to function well.
  • Support the development and communication of Policies and Procedure as relevant to Facilities Management.
  • Participate in various scheduled meetings as required. Including but not limited to; weekly facilities meetings, budget meetings, event meetings, construction meetings, etc.
  • Support the management of new building projects for all facilities campus wide.
  • Ensures that all work performed under his/her supervision is done in a timely and cost-effective manner according to the applicable codes.
  • Use building systems such as JCI, BCM BMS, FMX Systems or any system the customer sites provides to maximize the available technology, systems, and programs to operate in the most efficient and effective manner.
  • Ensure preventative maintenance is being scheduled and coordinated with all contracted vendors.
  • Assist Management and procurement of all service & preventative maintenance contracts and agreements
  • Provide utility use and cost forecasts as directed.
  • Assist the manager in implementation of corporate and/or regional initiatives.
  • Provides the customer with cost savings initiatives for review and approval.
  • Ensure that environmental policy and procedures are being adhered to within the facility.
  • Ensure compliance with regionally directed or client directed procurement programs, and process PO’s and invoices; maintain tracking mechanisms of all expenses.
  • Understand and create spreadsheets for financial reports as instructed by Director of Facilities/Budget Authorizer.
  • Assist the Director of Facilities in managing oversite and reconciling the Operating Budget. Provide recommendations for possible short falls with the finance office.
  • Assist in reviewing and engineering, with the customer representative(s), any plans or specifications for additional maintenance, construction, and renovations.
  • Assist manager in maintaining a safe facility by training the staff on life safety systems and emergency procedures and programs per CW Services programs.
  • Maintain administrative records and documents both online and physical pertaining to the site. i.e COI’s, Permits, Fire inspection reports, elevator inspections, boiler inspections, etc.
  • Ensure that the Campus is compliant with all City/Town of Boston Permitting, Licenses’ and Ordinances Including but not limited to: City of Boston, Commonwealth of Massachusetts, Licensing Board, Health Department, Boston Fire Department.

Compensation Range: $90,000 to $100,000 per year dependent on knowledge, skills, and abilities.
