Administrative Assistant/Receptionist

Overview:

Do you have strong administrative skills and love variety in your job, then apply now for AMLI’s Administrative Assistant/Receptionist opening. In this role, you will Support executives in various administrative functions, manage Chicago Corporate front desk reception needs, and maintain office facilities. Duties Include:

ADMINISTRATIVE SUPPORT:

  • Assist with Executive travel needs such as airfare, hotel, car rental, planning, and research.
  • Produce accurate expense reports for various executives using Oracle Expense software.
  • Work with the accounts payable department to distribute postal mail. Prepare outgoing office mail, including express shipments, certified mail processing, and messenger service requests as needed.
  • Assist Office Manager on setting new users into UPS portal
  • Assist with catering requests for office and departmental meetings or events as needed.
  • Assist with recognition events (i. e., mid-year, year-end) and volunteer activities for the region.

RECEPTION COVERAGE:

  • Answer, screen, and direct incoming calls and appropriately route to others.
  • Welcome in-person AMLI guests
  • Assist with new employee setup as needed.
  • Manage petty cash requests (purchases, postage stamps, etc.)

FACILITY ASSISTANCE
:

  • Review/Maintain/Order office and kitchen supplies and restock as needed-complete cost comparison research on office supplies.
  • Submit building maintenance requests
  • Submit visitor requests as needed
  • Maintain printer cartridge inventory and reorder when needed.
  • Coordinate service calls for printers, copiers, and postage machine with the appropriate vendor.
  • Empty/load dishes in the dishwasher and run the machine when needed placing clean dishes in cabinets.

QUALIFICATIONS
: High school diploma or GED required; Associates or college degree preferred. 2- 3 years of administrative support experience. Strong working knowledge of Microsoft Office Suite required. Typing speed minimum 50+ wpm required and experience managing reception phone system. Experience making travel reservations preferred.

Employees are regularly required to use their hands to work on the keyboard and take and hear on the telephone. Specific vision abilities required by the job include close vision, distance vision, peripheral vision, color vision, depth perception, and the ability to adjust focus. The employee must occasionally lift and/or move up to 15 pounds or more.
