We’re looking for a keen individual to join our Property Management team within Asset Services as an Administrative Assistant.The role of Administrative Assistant is pivotal to the successful centre management operation. The person appointed will act as the liaison between departmental management and the property management agent and the landlords.
Job Description
You will be working under the direction of the Centre Manager, dealing with office administration, the arrangement of promotional activities, co-ordination of seasonal activities and to look after finances and supplier accounts within the Regent Arcade destination.
Key responsibilities:
- To ensure the general running of the office is carried out in a smooth and efficient manner.
- Maintain and build on the excellent relationships in place between tenants and prospective tenants and the management team.
- Be the primary point of contact and monitor / deal with all visitors to the management suite as required.
- Maintain electronic office diary.
- Answering the telephone, transferring calls, taking messages.
- Monitor all incoming and outgoing post and record appropriately.
- Monitor / Operate IT equipment within the management suite maintaining value for service cost with external suppliers
- Control the levels of stationery and office supplies, ensuring stationery supplies do not run out.
- Assist centre management in dealing with day-to-day administrative matters.
- Work with the relevant teams to produce monthly client reports
- Maintain records of all petty cash income and expenditure
- Generate sales invoices and process purchase invoices.
- Maintain records and filing systems for the efficient management of the Centre.
- Attend and record minutes of centre management and tenant association meetings.
- Supervise and service the rooms for clients re food and beverages.
- Deal with all enquiries concerning promotional activity and agree terms and conditions with each company.
- Monitor all promotional activities in the centre and report on their effectiveness to centre management.
- Record petty cash expenditure and reconcile bank account
The ideal candidate will hold proficient computer and IT skills, be able to work efficiently and prioritise tasks.
